Tuition Waiver System
St. Cloud State University through Minnesota State offers a tuition waiver benefit to most employees based on criteria provided in the various union contracts or salary plans. It provides the cost of tuition and, in some cases, certain fees.
Each union contract specifies employee and spouse/dependent eligibility, the number of allowed credits, fees included in the waiver, the academic year in which the waiver can be used, and where credits can be earned.
All requests are processed electronically; paper forms are not available.
Note: In circumstances where the user of the benefits is unable to access or otherwise utilize the online tuition waiver application, the person should contact Human Resources for assistance in submitting the application.
Before Applying
All users of tuition waiver benefits must submit their tuition waiver application online no later than 10 days following the start of the course for which the user is seeking to waive tuition and/or fees.
In order to apply for tuition waiver, you will need:
- Student ID at the institution where the waiver will be used
- Institution Name where the waiver will be used
- Number of credits
You must fill out one waiver request per student per institution courses are registered through.
How To Apply
- Log in to the Tuition Waiver System using your Star ID and password, and select your institution from the drop-down box.
- Click on Apply
- Click on Apply for Waiver Under this Assignment to apply for a tuition waiver under an assignment. The assignment specifies which bargaining rules impact your request.
- Create and submit your tuition waiver request(s).
Things To Remember
- Tuition waiver deadline is 10 days after the course begins. Waivers entered after that date will not be processed.
- Check back in the Tuition Waiver system to see when the waiver is processed by HR. You will not receive a confirmation or notice of denial.
- Tuition waiver eligibility is based on the academic year (fall, spring, summer). Eligibility starts over in the fall, and unused previous academic year credits are not carried forward.
- Not able to apply? The tuition waiver application looks at assignment data to determine if a faculty member is eligible or not. It is important to note, even if there is a submitted or approved workload record, it must be fully processed by the Service Center before the tuition waiver recognizes it.
- Make sure you or your dependent check billing information to ensure your tuition waiver gets processed in a timely manner.
- You can make the following changes to tuition waivers:
- Change in level (undergraduate, graduate, doctoral)
- Change in the number of credits. These changes can be made at any time (before HR processes it, or after).
- Human Resources will be alerted of changes made to Tuition Waivers. If there are changes that need to be made other than level or number of credits, the tuition waiver must be canceled and re-entered.
- It is important that the number of credits requested equals the number of credits taken. For example, if you request 12 credits and only use 9, you would need to go back into the Tuition Waiver System and make the adjustment.
- Always Logout (in the upper right corner) to ensure that no one else can access your records!
- Please be aware of Important Deadline dates in Student e-Services to avoid having classes dropped for non-payment. If classes are registered for but tuition waiver has not been filed for by Early Registration Guarantee Date, classes will get dropped.
