Insurance and Billing
Insurance and Billing Guidance
St. Cloud State University offers mental health support to students and provides detailed guidance on insurance and billing procedures. We accept many major health insurance plans, allowing eligible students to have charges billed directly by presenting valid insurance information. For those without billable insurance, students are responsible for payment but may seek reimbursement from their provider.
Billing and Insurance: All SCSU Students
Using Insurance
Counseling and Psychological Services has established contracts with many major health insurance plans. Students with these insurance plans can have their charges billed directly by presenting a valid insurance card with policy information.
If you do not have insurance or have a plan we are unable to bill directly, you are responsible for charges. After you have paid for your charges, you may be able to submit the charges to your insurance company for reimbursement. Contact us if you have questions.
Bring your insurance card to every visit.
No Show or Late Cancellations
The mental health needs of college students are growing. We strive to be efficient and to help as many students as possible. It is important that scheduled appointments are kept or cancelled in advance so that other students can be helped during those time slots.
Instructions:
- If you realize that you need to cancel an appointment, call to inform us of this at least 24-hours in advance at either (320) 308-3171 or (320) 308-3191.
- If you do not show up for a scheduled appointment, your provider will discuss this with you and come up with a plan for improved attendance.
- You may also receive a secure message through the MyHealth portal about your missed appointment.
- If you do not show up for more than two appointments, your services will be put on hold for 60 days. You will not be allowed to schedule any new appointments with us, except for emergency services.
- A list of community resources can be provided upon request.
Paying Your Bill
Bills are sent via secure message in the patient portal at myhealthservices.stcloudstate.edu. You will receive an email in your St. Cloud State account stating you have a secure message. Full payment of your bill is due 30 days after you receive this email.
Options for paying your bill:
- You may come in to the Medical Clinic/Counseling and Psychological Services to pay at the check-out desk, mail a check, or call with credit card information. A printed itemized receipt is available upon request.
- You may call our cashier and request that your bill be sent to the business office to be added to your other university charges. (A hold may be placed on registration until the bill is paid.) This request will need to be made each time you receive a message.
- You may call the cashier to request a paper bill be mailed to you at whatever address you provide. This request will need to be made each time you receive an email.
- Acceptable payment methods: cash, checks, and credit cards (Mastercard, Visa, Discover and American Express).
If you do not pay your bill or make payment arrangements before it is due, the St. Cloud State Business Office will be notified and you will be charged a $20 late fee. The bill will be added to your University account and you may not be allowed to register for future classes, or receive a transcript or grades until your bill has been paid.
HIPAA (Health Insurance Portability and Accountability Act) regulations do not permit the Medical Clinic/CAPS to send or email bills to anyone other than the student.
