Office 365 Applications

The following is a list of Office 365 applications and information on how they will migrate. Below this table are details specific to each application.

Migration Capabilities
Auto-migrate: Migration of data will happen automatically as part of the transition process.
Auto-migrate*: Some manual work may be necessary.
Self-migrate: Users will need to take steps to migrate data themselves.
No migration: No migration options available. Data needs to be recreated.

Outlook details

Calendar

Overview

Calendar events (meetings, appointments, etc.) from your individual calendar will be transitioned to your new Office 365 account automatically. If you experience problems saving changes to recurring meetings, delete the entire series and recreate the meeting within the new account.

Before Transition

  1. Back up your Free/Busy and Delegation settings. 

During Transition

Do not make any new meetings or edits to existing meetings. Your mailbox will be unable to receive new invitations during the migration. Any meeting invitations sent to your email address during this time will be returned to sender.

Contacts/People

Overview

In Outlook on the web, you can use the People page to view, find, create, edit, and delete contacts. Your contacts will transition automatically to your new account, however, you will need to recreate personal groups and distribution lists in your new account.

Email

Overview

Students: Your email address will change to email@go.stcloudstate.edu.

Employees/Emeriti: Your email address will not change.

Between Aug. 9-11, you will not be able to send or receive email. During this time, anyone sending you an email may receive a message back indicating it was undeliverable. Out of Office responses will not be sent. 

Before Transition

  1. Save distribution lists to re-import after the migration. 
  2. Backup your Outlook Rules, Signatures, Contact Lists and Block Sender Lists. 

During Transition

  1. Your mailbox will be unable to receive new email during the migration. Any email messages sent to your email address during this time will be returned to sender.
  2. If accessing mail via an app on a mobile device, you may be prompted to enter your username and password. However, your credentials will not be accepted. Please wait to access your email until after the transition is complete (Aug. 11).

Tasks

Overview

Tasks data is moved over automatically as a part of your Outlook mailbox transition.

To-Do

Overview

To-Do data is moved over automatically as a part of your Outlook mailbox transition.

Office applications

Excel

Overview

Excel installed on your desktop/laptop will be available throughout the transition.

The online version of Excel that you can access through a browser will not be available during the transition.

Excel files stored on OneDrive (and SharePoint) will be moved automatically during the transition.

OneNote

Overview

Local OneNote documents will not be affected.

OneNote documents in the cloud (i.e., on OneDrive and SharePoint) will be moved automatically. OneNote documents solely associated with Microsoft Teams will be migrated, though the "Created Date" will change to the transition date.

PowerPoint

Overview

PowerPoint installed on your desktop/laptop will be available throughout the transition.

The online version of PowerPoint that you can access through a browser will not be available during the transition.

PowerPoint files stored on OneDrive (and SharePoint) will be moved automatically during the transition.

Word

Overview

Word installed on your desktop/laptop will be available throughout the transition.

The online version of Word that you can access through a browser will not be available during the transition.

Word files stored on OneDrive (and SharePoint) will be moved automatically during the transition.

Other 365 apps

Bookings

Overview

There are no export/import options for Bookings, and no data will migrate. Bookings will need to be setup again after migration.

Delve

Overview

There are no export/import options for Delve, and no data will migrate.

Flow

Overview

Flow workflows will not be migrated automatically, however, you can export workflows you’ve created and import them into your new Office 365 account.

Before Transition

Export your Flow workflows.

During Transition

You will be unable to use your Flow workflows.

 

Forms

Overview

Prior to the transition on Aug. 9, you will be able to share your form as a template with your new Office 365 account, but the responses will not be carried over. You can save your responses by opening them in an Excel file and then saving them on your computer or on your OneDrive before the migration.

Before Transition

  1. Duplicate forms you’ve created into your new Office 365 account.
  2. Save any responses associated with the original forms to an Excel file, then upload them to OneDrive (or store them on your computer until after the transition).

Groups/Teams

Overview

Files stored within your Team OneDrive/Sharepoint (found under the “Files” tab) and your OneNote notebooks (under the Staff Notes and Notes tabs ) will be moved over automatically.

Custom tabs you may have created for the Team site will need to be recreated in the new Team.

All Teams for St. Cloud State University will begin with “SCSU-“ after the transition. Team members and permissions/role information will transition over with the Team.

Web links to shared documents will need to be created from your new Office 365 account. Channels you have set up will be moved over automatically in the transition.

Conversations in your Teams and channels will NOT be moved over automatically, however, you can download these and store them locally.

OneDrive

Overview

Files stored on OneDrive will be moved automatically during the transition. Any web links you’ve created for shared files will change.

Before Transition

A freeze will be put on accounts around July 26 at which time you will need to stop making changes to your OneDrive files. We will begin copying OneDrive files in the could to the new system at that time and any changes you make to files in the cloud may not be replicated to the new system once that process begins.

Watch for more information to come regarding the freeze timeframe.

During Transition

If you want to edit a file during the freeze, approximately July 26 through Aug. 11, download the file to your laptop or desktop and edit that local copy.

Planner

Overview

There are no export/import options for Planner, and no data will migrate. Planner available in Teams after migration.

PowerApps

Overview

PowerApps will not be migrated automatically, however, you can export PowerApps you’ve created and import them into your new Office 365 account. Information on migrating a PowerApp can be found here:

During Transition

You will be unable to use your PowerApps.

Power BI

Overview

Power BI content will not migrate. 

Before Transition 

Locate the Power BI file (pbix) used to publish your Power BI reports and dashboards, as you will need to re-publish these files to your new Power BI Workspace after the transition. 

During Transition 

The online Power BI service will not be available. 

SharePoint

Overview

Files stored in SharePoint will be moved automatically during the transition. Site location (URL), including Web links to shared files, will change. Any alerts that you have will not migrate.

Before Transition

A freeze will be put on SharePoint content beginning July 26 at which time you will need to stop making changes to your SharePoint files. We will begin copying SharePoint files in to the new system at that time and any changes you make to files in the cloud may not be replicated to the new system once that process begins.

During Transition

If you want to edit a file during the freeze, approximately July 26 through Aug. 11, download the file to your laptop or desktop and edit that local copy.

 

Skype for Business

Overview

Contacts will not automatically transition to your new account. Links for Skype meetings must be recreated in your new account.

Before Transition

As a reference for use in adding contacts to Skype through your new account, you can export your (Outlook) contacts.

Stream

Overview

Content from Stream will not be moved over automatically during the transition. However, you can download files from Stream locally and then upload them to your new Office 365 account.

Sway

Overview

No data from Sway will automatically transition to your new account. You can, however, share your Sway presentations, open Sway within your new Office 365 account, and then duplicate the shared copy to your new account.

Before Transition

Use the Share button in your Sway presentation and keep the link generated for sharing. That link can be used later to duplicate the Sway into your new Office 365 account.

Video

Overview

Content from Video will not be moved over automatically during the transition. However, you can download files from Video locally and then upload them to your new Office 365 account.

Yammer

Overview

Yammer will no longer be available after the transition.
