Faculty Resources - Grading Instructions
The following information will assist you with the web grading process.
If you have not already done so, please complete this BEFORE entering grades:
IMPORTANT – Reporting for students who never attended/participated or stopped attending/participating in your course(s):
- Access your online class list (For directions, please see http://www.stcloudstate.edu/registrar/faculty/classlists.asp)
- Click on the LDA link (Last Date Attended column)
- For students who have never attended/participated in your class, please click on the box “Never Attended”. A grade of FN will automatically be assigned to the student. The FN grade means failure for non-attendance/participation and will affect the student’s GPA in the same way as a grade of F.
- For students who have stopped attending/participating in your class, please enter a last date of attendance/participation for a student. If you do not record daily class attendance, please use a date for academically related activities in a class which include but are not limited to an exam, a tutorial, computer-assisted instruction, academic counseling, academic advisement, submitting a class assignment, or attending a study group that is assigned by the institution or some other reasonable means of determining the last date of attendance/participation. A grade of FW will automatically be assigned to the student. The FW grade means failure for non-completion and will affect the student’s GPA in the same way as a grade of F.
If the student is an athlete or an international student, the system will direct you to contact the Office of Records and Registration with the non-attendance/participation information as these students have more specific requirements in order to maintain their enrollment status at SCSU. Please send an email including the student’s name, tech id, course and last date of attendance/participation to Teri Longstrom, Office Manager tjlongstrom@stcloudstate.edu.
Entering Grades Online
Important Note: Please make sure step #8 is completed. If you do not verify your pin number, your grades will not be successfully entered.
If you are familiar with accessing your class lists on the web, please go directly to item number 5.

- Grades for Fall semester 2009 may be entered during
the following time periods:
- First half semester courses: October 14th - October 20th
- End of Fall semester 2009: December 14th - December 24th
- Go to the Online Services System (http://www.stcloudstate.edu/registrar/registration).
- Enter your SCSU ID (NOT your SSN) and your 6-digit
PIN. Click on the Login
Now button.
- If you do not know your SCSU ID, you may click on the "Lookup" tab. This will take you to a screen where you will enter your SSN and your 6-digit PIN. The system will then retrieve your SCSU ID. Your PIN is initially set to your birth date in year, month and day format (yymmdd).
- After entering the system for the first time, you will be required to change your PIN to a new number. Subsequently, you will only use that new PIN.
- If you forget your PIN, please contact the Faculty Help Line at 308-2168. Enter your SCSU ID and PIN. Click on the Login Now button.
- Click on the "Class Management" link.
- Click on the link "Change Semester". Select Fall 2009 from the drop down list. Be sure to click on the "Select" button to process. You will see a message verifying the selected semester was successfully changed.
- Click on "Grade Entry". A list of courses for which you are listed as the instructor will appear.
- Click on "Enter Grades" in the "Grade Data
Entry" column for the appropriate course. Up to 40 records
will be displayed on the screen. Students with grades previously awarded,
including those who have withdrawn, will not appear
on the screen. If there are more than 40 students in the course, a
message will be displayed at the top of the page. Enter the appropriate
grades (Choose + or – from the drop down menu in the
right column if applicable). A grade of W (withdrawn) or AU
(audit) cannot be entered via the web.
Grading Methods used at SCSU include:- 01 = Letter grade
- 04 = Satisfactory/Unsatisfactory
Please note: If grades are entered that do not match the grading method, they will not be successfully submitted to the student academic record. - After reviewing your grade entry for accuracy, click on "Process Grades", verify your PIN and return to "Grade Entry List" to complete the remaining students. Once ‘Process Grades' has been selected, that page cannot be edited. If you wish to clear the grade entry screen and re-enter those grades, select ‘Reset' and begin the page again.
- You are highly encouraged to exercise the option of printing the final screen with the grades you have just entered by selecting the print option on the top menu bar of your web browser. A complete class list appears with all grades awarded in the class, including those who have withdrawn and those previously awarded.
- Grades may only be entered once per year term via the web. Once the "Process Grades" option has been selected, changes and/or corrections to those grades need to be submitted to the Office of Records and Registration (AS-118) via a change of grade form with the appropriate signature.
Reminder: If a student does not appear on your class list, they are not successfully registered in your class.
