Faculty Resources - Grading Instructions

Entering Grades Online

  1. Grades for Fall Semester 2011 may be entered during the following time periods:
    1. 7 calendar days prior to the end date of the course
    2. Grading Deadline for all Fall semester courses -December 22nd at 11:59pm
  2. Go to E-services Sign In
  3. Enter your SCSU ID (NOT your SSN) and your PIN/Password.
    1. SCSU ID: (This is NOT your SSN. This is NOT your Star ID.)
      1. If you do not know your SCSU ID, click on the "Lookup ID" tab.
      2. Enter your SSN (9-digits with no hyphens) and your 6-digit PIN. Click on the "Lookup ID" button.
      3. Your SCSU ID will display.
      4. Click on the "Login" link.
    2. PIN/Password:
      1. Your initial PIN/Password is set to your birth date in year, month, day order (yymmdd). Birth date Example: February 14, 1972 = PIN/Password is 720214
      2. After entering the system for the first time, you will be required to change your PIN/Password to a new 8 character password known only to you.
        1. PIN/Password must have a minimum of 8 characters (letters, numbers or special characters)
        2. PIN/Password must have 3 of the 4 types of characters (upper case, lower case, numbers, special characters)
        3. Do not begin or end your new PIN/Password with zero
        4. Your PIN/Password cannot remain your birthday.
      3. This new PIN/Password will be used every time the system is entered thereafter. Please write it down.
      4. If a PIN/Passsword is forgotten and you have an active HuskyNet email account, you can have your PIN/Password emailed to your HuskyNet email account. Click on “Forgot your PIN/Password?” under helpful links on the right.  Enter your SCSU ID# and click on “Get your Password.”  Enter your HuskyNet email address and click Process.  Your PIN/Password will be emailed to you within several minutes.
      5. If a PIN/Password is forgotten and you do not have an active HuskyNet email account, please call the Faculty/Staff HELP Line for assistance (320-308-2168).
  4. Click on the "Login Now" button.
  5. Click on the "Class Management" link.
  6. If a term displays other than the current term of grade entry, Click on the "Change Semester" link.
  7. Click on "Grade Entry". A list of courses for which you are listed as the instructor will appear.
  8. Review the “Grading Status” column. For those courses which display the message, “Grading is Open for Posting”, click on “Go” in the “View List Enter Grades” column.

    Note: If the message, “Grading is Open for Posting” does NOT appear in the Grading Status column and your course should be open for grading, please contact the Office of Records and Registration via tjlongstrom@stcloudstate.edu as we may not have received an accurate end date for your course.

  9. The Class Roster will display. Select the student(s) by selecting the checkbox next to the student name. To select all students registered for the course, click on the checkbox next to “Select All”.
  10. Enter the grade and grade shade in the appropriate columns (grade shading is optional).

    Important Note: By default, the “Attended” option in the Attended column is selected for all students registered for the course.

    1. Never Attended” column: Select this option for students who never attended or participated in your course. No grade or last date of attendance entry is required. The grade of FN will automatically be assigned.
    2. “Partially Attended” column: Select this option for students who stopped attending or participating in your course. Enter a Last Date of Attendance/Participation in the appropriate column (a calendar widget is available). No grade entry is required. The grade of F will automatically be assigned.


    Grades of F and U :
    In order to comply with federal regulations pertaining to attendance verification for financial aid, Grades of F and U will require the entry of a last date of attendance/participation.


    If the student is an athlete or an international student, the system will direct you to contact the Office of Records and Registration with the non-attendance/participation information as these students have more specific requirements in order to maintain their enrollment status at SCSU. Please send an email including the student’s name, tech id, course and last date of attendance/participation to Teri Longstrom, Office Manager tjlongstrom@stcloudstate.edu.

  11. Click on the “Post” button.
  12. After reviewing your grade entry for accuracy, enter your PIN/Password associated with your 8 digit SCSU ID.
  13. A Confirmation page will display. Students will be able to view their grade(s) immediately after the grades have been posted.
  14. Grades may only be entered once per year term via the web. Changes and/or corrections to posted grades need to be submitted to the Office of Records and Registration (AS-118) via the Online Grade Change Application found at https://www5.stcloudstate.edu/registrar/faculty/GradeChange/LoginS.asp OR via a change of grade form with the appropriate signature.
  15. Click on “Return to Course List” to repeat the grade entry process for other courses.

Reminder: If a student does not appear on your class list, they are not successfully registered in your class.
