PREPRESS

All copy should be typed, edited, proofed and submitted by disc in a Word document. Check carefully for errors before submitting copy to be typeset.

The importance of taking extreme care in original copy and page proofs cannot be stressed enough. Please realize that any corrections of page proofs are extremely costly and time consuming. Any corrections that deviate from the original text sent to the printer are called author's alterations. That is, the cost of correcting a line at this stage is many times greater than the original cost. It can easily be seen, then, that excessive author's alterations make the job needlessly expensive. Also each time the job is put on the screen there is a possibility that the printer will commit serious typographical errors in making trivial changes. Where time is an important factor, numerous corrections can slow up the job considerably.

Disk Copy

Submitting copy in this manner can eliminate many errors from key stroking, if your copy is proofed and spell checked prior to submitting to Printing Services. (Microsoft Word fast-saved documents are not supported. Turn fast saved option off).

When submitting products in this manner there are some things that Printing Services requires.

  1. Name that the document has been savedas.
  2. Program used.
  3. Version of the Program (ie. 3.0 or 3.1)
  4. Total number of pages to be Output.
  5. Percentage of Enlargement or Reduction.
  6. If crop marks have been added or not.
  7. Page size.
  8. Orientation: Tall or wide
  9. Separations: Spot color, Process color, Black
  10. Specific color to output.
  11. Imported Graphics: (include a copy of the graphic file) How are the graphics saved: EPS, TIFF, Other
  12. Fonts used: List fonts, and (include printer font & screen font).
  13. Any special instructions that you feel are needed.
  14. Include a proof copy of the item that is to be output or printed.

The items listed above are very important to minimize the time that some of these projects require to produce.

Our prepress area offers a variety of services in this area.

Scanning of Photos and line art
We can add these directly into your designed format, in Quark and PageMaker application and then send them directly to our high speed duplicating system, 1800 dpi Laser printer, or directly to film for production in the Offset area. (Remember your choice of Pictures can make a world of difference as to the quality that you will get, GOOD Contrast black and white Photos are the best.) NOTE: Web photos are possibly copywritten and they do not reproduce well.

Scanning type
Scanning type onto a disc allows you to avoid the time of retyping old materials. (Some editing may be required following the scan, depending on the quality of type that is to be scanned.)

Designing and formatting on-campus products. We can design forms, cards, brochures, flyers, newsletters, booklets, etc. for your department or organization. Bring in text and we can design and/or add art or photos to your copy. (Departmental brochures that require off-campus mailing are to be submitted to the Office of University Communications before coming to Printing Services.)

Customer Proofing

Printing Services follows the printing industry standard policy of requiring customers to check and approve proofs prior to printing. When we provide a proof, a representative from the department requesting services must check all information, spelling, grammar, layout, color breaks, etc. for errors that might lead to dissatisfaction with the final printed piece. This includes errors caused by any member of our production staff. The department requesting services will be responsible for any errors in the final publication that might have been identified on the proof prior to printing. If changes are necessary, the representative must sign the proof card and check the box labeled "changes required." Required changes should be clearly marked on the proof in red ink. We do not charge for correction of errors made by our staff if corrections are clearly identified on the proof. After changes are made, we will submit a revised proof. The proof submission cycle ends only when the proof is completely approved. Note that we schedule first and second proofs as quickly as possible, but third and subsequent proofs must wait their turns to avoid delaying other customer's orders. When the departmental representative approves the proof, the proof card should be signed, and the box labeled "OK as is" should be checked. This indicates an order is ready to be printed "as is." At Printing Services we work diligently and meticulously to avoid errors in your order. Please cooperate in this endeavor by carefully checking your proofs.

Reprints Due to Errors

Printing Services will print orders in strict accordance with the instructions on the "Printing Requisition" form. The requesting department is responsible for paying the cost of reprints due to erroneous instructions on the form or unmarked errors on an approved proof. Printing Services will reprint work at no charge to the department if instructions on the forms were not followed.

  5. Calling cards, miscellaneous cards, etc.
  6. Organizational work

* These items must be cleared through University Communications.
