Organization T-Shirt & Logo Licensing
The St. Cloud State University name, logos, word marks, and other depictions are protected in a variety of ways. Nothing can be created using SCSU identification without appropriate approvals.
If you decide to purchase t-shirts or other specialty items for your student group or organization, you need to follow a simple procedure:
- Get your artwork approved. Often, your vendor will be able to create the artwork for you or you may choose to do it yourself. All artwork must be approved by the University Communications Office located in Administrative Services 207, or Athletic Media Relations located in Halenbeck 259-1. Approvals should not take more than 24 hours. Make sure your artwork has an approval signature and date. If your item is for your organization's use, or for an approved fund-raiser, make sure your artwork also contains the phrase, "For use by SCSU organization-royalties waived."
- Use a licensed vendor. Get a list of licensed vendors from CSOLD, Atwood Center 139, 308-3004, or from the Office of Athletic Media Relations, Halenbeck Hall 259-1, 308-2141. Get bids from at least two of the vendors for your t-shirt or specialty item. Be sure to tell the vendors there will be no royalties on the item.

Note: Failure to comply with these procedures could result in confiscation of your t-shirts or specialty items. You also may be open to criminal charges for manufacturing, possession and/or selling unlicensed products.
Organizational And Personal Liability
Advisors and organization officers occasionally express concern about personal liability for organization-related activities. The following may be helpful as general guidelines:
Organization members, officers and advisors are subject to the same criminal statutes that govern behavior generally in society. Violation of these laws may result in criminal liability. Organization officers, members, and advisors may be liable for harm resulting from either dangerous organization activities or those that create an unreasonable risk of injury. All persons involved in organizations are advised to plan activities carefully, comply with all laws (including those related to the sale or consumption of alcohol and the use of vehicles and other equipment) and to neither endorse nor participate in activities that could result in injury to participants, bystanders or property.
Hazing, which shall include any form of mental, physical or emotional harassment, degradation, intimidation or harm, is strictly prohibited. Organizations found to be incorporating any form of hazing activities into their recruitment, new member or ongoing organizational activities, will face appropriate sanctions for violation of campus, local and state policy and/or law. The Center for Student Organizations and Leadership Development (CSOLD) and St. Cloud State University strongly discourage the use of alcohol and other substances as part of club and organizational activities. Student Government will be reviewing alcohol promotion, advertising and use with regard to club and organization recognition and fundraising activities.. Avoiding alcohol use in your activities decreases personal liability, club liability, and helps build a positive reputation for your organization.
Probation / Suspending An Organization
Student Organizations may have their recognition suspended or placed on probation by either the CSOLD office, Student Government Judicial Council, or by the Associate Vice President of Student Life and Development for any violations of the Student Code of Conduct, the Student Organization Manual, or Student Activity Fee Polices. Probation or suspension may be set for any period of time. In most cases, violations of the Student Activity Fee Policies are handled by the Student Government Judicial Council. Violations of the Code of Conduct and/or the student Organization Manual may be processed by either the Associate Vice President of Student Life and Development or the CSOLD office. Violations are handled on a case by case bases.
Appeals of Probation - Your organization may appeal these decisions first through the office that sanctioned the probation or suspension, then through any of the following departments.
- Filing for appeal through Student Government's Judicial Council.
- Appeal to the Director of CSOLD and then the VP of Student Life and Development.
