Officers
Elect Officers - Officers provide the foundation of the organization. The following are some basics for electing and helping officers coordinate the activities of the organization.
Elect officers in the spring using open nominations and secret ballot vote. CSOLD has established a one-person, one-vote standard for all organizations. After the election, notify CSOLD of the names, addresses, and telephone numbers of the newly appointed officers. An organization calls for leaders in the position of President, Vice-President, Secretary and Treasurer. (Secretary and Treasurer may be combined to form the Secretary-Treasurer.) Your organization may choose to add others. Have the election process written out in detail in your constitution so you have consistency throughout the years.
Responsibilities of the Officers - Basic responsibilities of organizational officers may include:
President
- Presides at all meetings of the organization
- Appoints committees and committee chairs
- Serves as official representative and spokesperson for the organization
- Serves as informa tion link between the organization, the advisor and CSOLD
Vice-President
- Serves in the absence of the President
- Assists the President
Secretary
- Maintains minutes of official meetings
- Keeps organizational records
- Handles correspondence
Treasurer
- Collects and deposits dues from the members
- Maintains records of receipts and expenditures
- Pays approved bills
- Communicates to the advisor a ll financial transactions and the financial status of the organization
- Organizes fundraisers
In addition to these specialized duties, officers should schedule a regular meeting place throughout the semester or for the academic year. It is important that the regular meeting dates and times be set and communicated to members to ensure consistency. Organizations must also submit, and update on an annual basis, an organizational constitution or bylaws. This document will be kept on file in CSOLD and should also be maintained by the organization.
