Student Organization Timeline

August- September

  • Complete the online registration for your club
  • Participate in Mainstreet and recruit new members
  • Attend rallies (required) to be informed about new policies, privileges to student organizations
  • Meet with your organization’s advisor if you haven’t met him or her yet
  • Visit CSOLD to check if your registration process is complete
  • Attend Treasurer’s Clinic  to learn how to use funds, get reimbursements,
  • Plan your first meeting. Welcome new members to the club and get them excited about your organization.

October

  • Plan and schedule for events that you want to organize during the semester
  • Register events in your website and CSOLD will put them in the master calendar. Visit CSOLD for more information.
  • Participate in community services and volunteering

November-December

  • Attend Budget Training Clinic to get tips on how to make effective budget proposals. This is mandatory if your club has received budget or wants to request budget for the Senate Finance.
  • Hold election to appoint new officers
  • Train new officers in bookkeeping, budgeting, filling forms for a smooth transition
  • Reconcile all of your student organization’s financial records, pay all your bills, make sure you have money in your account for any bills over the summer, process all disbursements and transfers, etc.
  • Organize your officer files and resources and pass information and supplies to new officers.
  • Change the contact information on the website as you elect new officers.
  • Register a table for Sidestreet in January
  • Plan for next year’s budget.

January and February

  • Hold meetings with your club members and reflect what you did the last semester as a club and how/what you would like to contribute and benefit in the coming days.
  • Participate in Sidestreet. Continue getting people interested in your club.
  • Continue to recruit new members and start looking for new officers
  • Work on your budget proposal
  • Think about nominating your organization, your advisor, or students in your organization for a Student Organizations Excellence Award.

March

  • Encourage members to actively participate in the club.
  • Organize events as you planned in the beginning of the year. For any questions regarding bringing in a speaker/presenter, getting reimbursements for events held contact CSOLD.
  • Review your student organization’s constitution and bylaws; update if necessary to reflect current practices.

April and May

  • Recognize valuable organization members and show your appreciation to them for all their hard work and dedication.
  • Review year’s successes, accomplishments, and areas for improvement/enhancement.

Summer

  • Stay in contact with organization members.
  • Brainstorm program/event ideas for the fall.
  • Make marketing and recruitment plans for fall.
  • Check your organizational e-mail account for important announcements and updates.
