Advisor Roundtable: Student Organization Legal Issues & Liability

Starting a new student organization

HOW:

Step 1: Request Form - Complete the new student organization request form and turn it into the CSOLD office located in AMC 139 or via email to csold@stcloudstate.edu.

Step 2: Informational Meeting ­ A CSOLD staff member will contact you to set up a meeting to go over the steps it will take to become an organization and to answer any questions your group may have.

Step 3: Complete Requirements – After your meeting with a CSOLD staff member, you will be provided with login information to Club Manager for your organization and a list of the requirements you will need to complete.

Step 4: Advisor Verification – Your adviser will also get an email from or meet with a CSOLD staff member to go over information about what the adviser needs to do to confirm they are the adviser and review your group’s registration information.

Step 5: Registered – Once you and your adviser complete all of the required steps, you will both receive an email from CSOLD to let you know the group is registered with the university, your organization’s website will be activated, and your group will be listed on the CSOLD website on the list of registered student organizations.

Note: Sport Clubs and Fraternities and Sororities may have additional requirements or steps to complete to form a new student organization. Additional requirements for either will be explained during Step 2 in the meeting with the CSOLD staff member. Questions regarding Sport Clubs can be directed to the Coordinator of Intramurals and Sport Clubs at 320- 308-3923. Fraternity and Sorority questions can be directed to the CSOLD Assistant Director for Fraternities & Sororities at 320-308-5544.

RESPONSIBILITIES
  • Increased visibility and accessibility, including the web space provided to each organization through the CSOLD web site.
  • Accept responsibility for the supervision and safe operation of all sponsored programs and events.
  • Access to available services, equipment, and facilities on the University's campus.
  • Officers and voting members must hold current student status at SCSU.
  • Accounts: Recognized organizations can set up an account through the Business Office, AS 124.
  • Maintain active and updated files in CSOLD, complete the annual registration process and attend mandatory rallies.
  • Mailboxes: Mailboxes are available in the Student Activities Complex and are obtained through CSOLD.
  • The organization must practice non-discrimination in recruiting members and programming, as defined by the University policy and local, state and national statues.
  • Supplies: CSOLD office provides a limited amount of tag board, roll paper, markers, paints, and tape free of charge.
  • All members of the organization must act responsibly as members of the University community, both on and off campus.
  • Organization Fairs: Opportunity to participate in Mainstreet and Sidestreet organizational fairs during Fall and Spring semester.
  • Compliance with all University policies and procedures as defined in the St. Cloud State University code.
  • Resources: Workshops on Demand, Leadership materials, educational resources and mailings from CSOLD.
  • Read and follow all policies and procedures listed in the student organizations manual.

 

WHO:

Any student at St. Cloud State University can start a student organization.

WHAT:

Requirements for student organizations include:

1. Develop either a constitution or bylaws (Click here to see a constitution template).

2. All officers must hold current student status at SCSU.

3. A group must have a minimum of 10 SCSU students.

4. Completed new student organization request form.
