aNNUAL REGISTRATION

Student Organization Annual Registration

The deadline to register an organization was September 30. Please read below for information on registering your organization after September 30.

 

IF YOUR ORGANIZATION WAS REGISTERED LAST YEAR:

Student Organizations that miss the September 30, 2009 deadline must, in addition to meeting the registration requirements, complete and submit the appeal form to the Assistant Director for Student Organizations in CSOLD, AMC 139 or via email to jslauritsen@stcloudstate.edu. The student organization’s appeal will be reviewed by the Assistant Director for Student Organizations and the group will be notified via email of the next steps. Please allow for at least one week for this process. Copies of the appeal will remain in the group’s permanent organization file. Please contact the Assistant Director for Student Organizations, at 320-308-4891 or jslauritsen@stcloudstate.edu, with any questions about the appeal process.

 

IF YOU ARE STARTING A NEW ORGANIZATION:

Step 1: Request Form - Complete the new student organization request form and turn it into the CSOLD office located in AMC 139 or via email to csold@stcloudstate.edu.

Step 2: Informational Meeting ­ A CSOLD staff member will contact you to set up a meeting to go over the steps it will take to become an organization and to answer any questions your group may have.

Step 3: Complete Requirements – After your meeting with a CSOLD staff member, you will be provided with login information to Club Manager for your organization and a list of the requirements you will need to complete.

Step 4: Advisor Verification – Your adviser will also get an email from or meet with a CSOLD staff member to go over information about what the adviser needs to do to confirm they are the adviser and review your group’s registration information.

Step 5: Registered – Once you and your adviser complete all of the required steps, you will both receive an email from CSOLD to let you know the group is registered with the university, your organization’s website will be activated, and your group will be listed on the CSOLD website on the list of registered student organizations.

Note: Sport Clubs and Fraternities and Sororities may have additional requirements or steps to complete to form a new student organization. Additional requirements for either will be explained during Step 2 in the meeting with the CSOLD staff member. Questions regarding Sport Clubs can be directed to the Coordinator of Intramurals and Sport Clubs at 320- 308-3923. Fraternity and Sorority questions can be directed to the CSOLD Assistant Director for Fraternities & Sororities at 320-308-5544.

1 REGISTRATION FORM AND CONSTITUTION

Complete the “renew registration” information in Club Manager (also known as ICS) under “registration”, including uploading your organization’s most recent constitution. If you prefer to submit a hard copy of your constitution, bring it to the CSOLD Resource Desk across from AMC 139. If you would like an electronic copy of your organizations most recent constitution on file in CSOLD, send an email to csold@stcloudstate.edu.

2  MEMBERSHIP/OFFICER/ADVISOR INFO

Update your member list (including valid Tech IDs), officer list, and advisor information in Club Manager under “membership”.

Please note that when you are updating your member list, including the accurate Tech IDs for your members is essential. We are building a program of research on students that participate in registered student organizations. The research will produce evidence and information that will enable us to improve our services and programs and demonstrate the importance of student organizations to administrators, faculty, and other stakeholders, both within and external to SCSU.We can expect that, by producing good information about our student members, we will increase the prominence, and perceived effectiveness and importance of student organizations on campus. The most fundamental element of this research program is accurate lists of members of each organization. Those lists allow us to identify and describe our members, and to compare them with students who do not participate in campus organizations.

3 REQUIRED WORKSHOP

All student organizations must send at least one person from their organization to one of the required workshops (formerly known as rallies). Students may represent more than one organization and must check in for all organizations they are representing in order for your group to receive credit for attendance.
